This is because regardless of how many technological advantages there may be, a printer is still a mainstay in many workplaces. Unfortunately, this is also the piece of machinery that is most likely to breakdown as well. The good news, though, is that you can take steps to avoid this, largely by maintaining your printer. To ensure that you are doing this the right way, here is what you will need to keep in mind:

Always Read the Manual

If you are like most people, you will promptly store the printer manual without ever glancing at it. This is especially true if you weren’t the one to set up the printer in the first place. Well, although you may not realise it, this manual is a treasure trove of information. For instance, it will detail how to deal with minor issues so that the problem doesn’t worsen. Then, the manual will also instruct you on how to clean and maintain the machine in the right way so that it can continue to function properly.

Keep the Printer Clean

You shouldn’t wait until dust has collected on the outside of your printer before you clean it. Instead, get into the habit of wiping it down with a lint-free cloth a few times a week. This can also prevent dust from getting into the internal components of the machine as well.

Even with your best efforts, you are going to have to clean the inner mechanisms as well. Of course, here, you are going to have to be a lot more careful. Always refer to the instructions within the manual before you try to do any dusting or cleaning up. Be Careful with Refills

The next thing to be aware of with maintenance is refills. Now, there is a good chance that you have experienced some issues with this in the past. On a similar note, you shouldn’t wait too long to replace these cartridges. Most modern printers will notify when the cartridges need to be replaced. It is important that you swap them out right then. If you wait until the cartridge completely runs out, you could end up doing quite a bit of damage to the printer head.  

Turn the Machine Off

This is such a simple thing yet most people forget to do this. Before the last person leaves the office, they should make sure that the printer has been turned off. If this isn’t done, the machine will continue to generate heat and dry out the cartridge. This, in turn, may clog the header.
